Each year, all schools must transition from one academic year to the next. In TwineSIS, this process happens in three phases:
- Phase 1: Next year's data available in TwineSIS
- Phase 2: TwineSIS data rollover
- Phase 3: Edsby sync cutover
Phase 1: Next year's data available in TwineSIS
Around January, Twine Support defines a date range for your upcoming school year in the TwineSIS database. At this point, you can accept and add new students into TwineSIS for the upcoming school year without disrupting the current year's data.
Twine Support notifies school admins when the next year is available.
Once the next school year is defined, you may begin adding new staff & student accounts for next year, per the Phase 1 help article.
Note: To avoid duplicating accounts, do not re-create, re-enter, or duplicate existing accounts from the current year. Student accounts are copied over during Phase 2.
Phase 2: TwineSIS data rollover
Toward the end of each school year, data from the current year is "rolled over" or copied to next year. This data includes:
- Students and associated Contacts/parents
- Staff
- Classes
Students are either advanced to the next grade, to the next highest school, or removed from active enrollment, depending on the student's current grade level and your school's structure.
To save you time setting up classes, a new set of empty classes is created mirroring the current Class Periods (including the assigned teacher and schedule).
As Phase 2 approaches, Twine Support sends an email to confirm any updates or needs for the upcoming school year, such as:
- Additional grade levels
- If you do not want your class periods rolled to the new school year
- Desired start date for Phase 3: Edsby sync cutover

Phase 3: Edsby sync cutover
The final phase for transition is to stop synchronizing data from the old school year and begin synchronizing data for the coming year.
For most schools, this happens during the first week of July. Twine Support sends an email with the proposed schedule toward the end of the school year. If you run summer programs and need this date to happen later in the summer, the sync date can be adjusted as needed.
